What should I do if eFiling says my EMP201 is outstanding?

What should an employer do when eFiling says an EMP201 is outstanding?

Direct answer

When eFiling shows an EMP201 as outstanding, first confirm the employer, tax period and current account screen. Search for the submitted EMP201 receipt, payroll reconciliation, PRN and payment proof for that exact period. SARS says an EMP201 and payment, if applicable, are due within seven days after month-end, that payment cannot be made before submission, and that it issues a receipt after receiving the EMP201.

Do not submit a duplicate declaration or make a second payment before checking what the message refers to. An outstanding item can reflect a genuinely missing declaration, a wrong period, an incomplete or invalid submission, an account-access issue or a mismatch in records. The relevant SARS account and correspondence should guide the next step.

What this means in practice

Start with the month, not the amount. Payroll teams can inadvertently compare a payment for one month to an EMP201 required for another, particularly around corrections, public holidays or staff changes. Record the period in a clear format and compare the account entry to the payroll close file for that month.

SARS says employers must make a full and accurate disclosure of relevant information on EMP201. Its guidance says incomplete mandatory fields or an unsigned declaration may be treated as not received. A draft saved in eFiling, a payroll-program export or a bank payment alone is not proof that a valid EMP201 was submitted. Look for the SARS receipt and the correct PRN.

After identifying the issue, act only on evidence. If the declaration is truly absent, prepare the relevant period carefully and submit it through the current electronic channel. If a receipt exists but the account still shows outstanding, retain the receipt and records before seeking help. A clean record trail reduces the risk of changing the wrong period while trying to solve an urgent message.

Step-by-step

  1. Screenshot the outstanding message and note the employer reference, tax type, period and date viewed.
  1. Locate the closed payroll report for that period. Reconcile PAYE, UIF, SDL and, where relevant, ETI information to the reported totals.
  1. Search for the SARS submission receipt. Compare the period, submission date and PRN with the outstanding entry.
  1. Check the bank confirmation, but do not treat it as an EMP201 receipt. SARS says payment follows EMP201 submission and the PRN links payment with the declared allocation.
  1. Review the eFiling account for validation messages, draft status, prior revision, audit, estimate or SARS correspondence that could affect the period.
  1. If no valid declaration exists, submit the correct EMP201 using the current SARS channel and retain the receipt. If the situation is unclear, do not duplicate the action.
  1. After the next account update, compare the status, declaration, PRN and payment. Keep a dated note of any outstanding variance.

Documents and records to keep

  • Outstanding-message screenshot and employer-account statement.
  • Payroll report and reconciliation for the named period.
  • EMP201 receipt, PRN and submitted declaration.
  • Bank payment evidence and relevant SARS correspondence.

Store these together because each record answers a different question. Payroll establishes what should have been reported, the receipt supports submission, the PRN ties the payment to the declaration, and the account shows how SARS is currently recording it.

Important limits and exceptions

SARS's standard deadline does not decide whether penalties, interest, remission or another remedy applies to your case. Do not assume an eFiling message is a harmless technical fault, but also do not assume it proves an unpaid liability without reconciling the period and documents.

If the seventh is a weekend or public holiday, SARS says the EMP201 and payment, if applicable, are due by the last business day before it. This does not justify using a PRN from another period or bypassing the declaration requirement.
