How do I correct an EMP201 that was submitted with the wrong amount?
How do I correct an EMP201 that was submitted with the wrong amount?

Direct answer
SARS says an employer can revise an EMP201 that was previously submitted, with previously submitted amounts pre-populated on the form. First reconcile the payroll, original declaration, receipt, PRN and payment evidence. Then check whether the particular period can be revised, because SARS lists limits for periods affected by an audit, a SARS revision, an agreed estimate, a VDP agreement or an earlier allowable correction during an audit.
Do not start by changing a figure simply because the employer account looks unexpected. Identify the exact period and error, reconcile it to source payroll records, then follow the current SARS workflow shown for that account.
What this means in practice
An EMP201 revision is a controlled correction, not an opportunity to rebuild the payroll from memory. Compare the original payroll run with the corrected records and prepare a clear variance explanation. It should identify the employee or payroll category where relevant, the prior amount, corrected amount, reason, date discovered and evidence supporting the change.
SARS says the same PRN is used for the whole period, including revisions. Preserve it with the original and revised receipts. A corrected declaration can affect an amount payable, a clearing-account allocation, penalty or interest entries, or ETI treatment. Avoid making an additional payment or requesting an allocation until the revised amounts and current employer account have been considered together.
SARS's current EMP201 guidance says an employer cannot amend an EMP201 where an agreed estimate was performed, where the period is associated with a VDP agreement and a return was submitted under it, or where an audit is in progress and one allowable request for correction has already been submitted. It also describes limits after SARS finalises an audit or revises the declaration. Those restrictions are specific to the facts, which is why a generic payroll instruction cannot decide every case.
Step-by-step
- Save the original EMP201, receipt, PRN, payment proof and employer-account view. Identify the exact tax month.
- Reconcile the original payroll report to corrected source data. Document what was wrong and why the proposed amount changes.
- Check whether SARS has issued an audit, revision, agreed estimate, VDP arrangement or other notice for that period.
- Open the relevant EMP201 revision only if the current SARS account permits it. Compare the pre-populated information with your reconciliation rather than overwriting values quickly.
- Correct only the supported values and review the impact on payment, ETI and allocation information.
- Submit the revision, retain the new confirmation and compare the result with the employer account.
- If the account shows a balance, penalty, interest or validation problem that does not reconcile, retain the evidence and obtain product-specific help before lodging duplicate submissions.
Documents and records to keep
- Original and corrected payroll reconciliations.
- Original EMP201, revised EMP201 and all SARS receipts.
- PRN, bank proof and employer-account statements.
- SARS audit, revision, VDP or estimate correspondence where applicable.
Keep a concise correction memo with the date, person who prepared it and reviewer. SARS says submitted declarations should be retained for five years. Protect employee personal information and retain the detailed payroll records needed to support the declaration.
Important limits and exceptions
An EMP201 revision is not automatically available in every situation. In particular, do not assume that a completed audit or SARS revision can be undone by lowering the declared liability through a standard revision. The SARS guidance identifies restrictions and may display an error for a disallowed change.
This article does not determine PAYE, UIF, SDL or ETI figures. Errors in underlying payroll coding may also affect employee certificates and reconciliation. If a different SARS process is required for a submitted certificate or annual reconciliation, follow the current employer guidance for that process.
When to get tailored advice
Seek advice where a correction is material, ETI is involved, an audit or estimate applies, a SARS error message appears, or payments and employer-account balances do not agree. Obtain assistance promptly where a demand, collection action or formal deadline is involved.
TaxProof can help organise the evidence and reconciliation. It cannot decide whether SARS will allow a revision.
