How do I submit a monthly EMP201 declaration to SARS?
How do I submit a monthly EMP201 declaration to SARS?

Direct answer
SARS says an employer must submit an EMP201 and make payment, if applicable, within seven days after the end of each month. Use eFiling or e@syFile Employer to submit the declaration electronically, check the required fields and payroll totals, retain the receipt, then make payment with the correct Payment Reference Number. SARS says payment cannot be made before the EMP201 has been submitted.
An EMP201 is not merely a payment instruction. It is the monthly employer declaration through which the employer reports the relevant payroll-tax amounts. Treat the payroll reconciliation, declaration, PRN and payment proof as one linked record set.
What this means in practice
Start with a closed payroll period. Reconcile gross payroll and the payroll-tax totals used in the declaration to the detailed payroll records. Resolve unusual items before submitting, such as a corrected employee record, a late payroll adjustment, ETI treatment, an unexplained variance or a payment already made. A rushed declaration can create an account mismatch that takes longer to investigate than the original payroll review.
SARS says EMP201 covers amounts deducted or withheld by the employer, with PAYE, SDL, UIF and, where applicable, ETI appearing in the employer account context. The EMP201 page says the payment clearing account is automatically allocated in line with the submitted EMP201 and that the PRN links payment to the declared allocation. The result is that a correct bank amount alone is not enough. The period, declaration and payment reference must also align.
SARS provides electronic channels through eFiling and e@syFile Employer, and branch agents can help complete an EMP201 electronically. It says printed, faxed and emailed declarations are not accepted. Build a monthly routine that includes a named preparer, reviewer, submission check and saved receipt rather than relying on an unsigned copy of a form.
Step-by-step
- Confirm the employer account, the month being declared and the payroll close date. Ensure the payroll data includes all relevant employees and adjustments for that period.
- Reconcile PAYE, UIF, SDL and any ETI information to the detailed payroll report. Investigate differences before opening the declaration.
- Request or open the EMP201 for the correct month in eFiling or e@syFile Employer. SARS says the PRN is generated for the period and remains used for revisions for that period.
- Complete every mandatory field and review the employer, contact, payment, incentive and declaration information. SARS warns that incomplete or unsigned declarations may be treated as not received.
- Submit electronically and save the SARS receipt or confirmation. Do not rely on a draft screen, a printed form or a payroll-system message as proof that SARS received it.
- Make the payment only after submission, using the correct PRN. Recheck the amount and payment date before authorising the banking transaction.
- Compare the employer account and payment evidence after processing. If the account does not reconcile, preserve the receipt, PRN and proof before investigating further.
Documents and records to keep
- Detailed payroll report and monthly reconciliation.
- Submitted EMP201 and SARS receipt.
- PRN and bank payment confirmation.
- Evidence of review, corrections and account reconciliation.
SARS says copies of declarations submitted must be retained for five years. Retain the source payroll records as well, with the period and version clearly labelled. Secure employee information and limit access to authorised payroll personnel.
Important limits and exceptions
SARS says the due date is within seven days after month-end. If the seventh falls on a weekend or public holiday, its EMP201 guidance says submission and payment, if applicable, are due on the last business day before it. Do not simply move the date to the next working day.
This guide does not calculate payroll taxes or decide ETI eligibility. A correction to an EMP201 may be possible, but SARS lists restrictions in certain audit, SARS-revision, agreed-estimate and VDP situations. Check the current employer account and specific SARS message before attempting a revision.
When to get tailored advice
Get tailored advice before submission if there is a material variance, a previous SARS revision, an audit, a late or missing declaration, a disputed amount, an ETI issue or a payment that cannot be reconciled. Act promptly if SARS has issued a demand or compliance notice.
TaxProof can help organise a payroll reconciliation and record trail. It cannot calculate a tax outcome or make a SARS decision.
