IRP5s and EMP501 reconciliations without the year-end scramble.
Every employer in South Africa must reconcile the tax it deducted from employees against what it actually paid over to SARS. That reconciliation is the EMP501, and the employee certificates inside it are the IRP5s. When they match, nobody notices them. When they do not, both the business and every affected employee feel it.

How the cycle works
- Monthly: EMP201 declarations and payments of PAYE, UIF and SDL.
- Interim reconciliation: covering roughly March to August, submitted in the window SARS announces (historically around September to October).
- Annual reconciliation: covering the full tax year, submitted in the window following year-end (historically around April to June for a February year-end), producing the IRP5/IT3(a) certificates employees use for their own returns.
The reconciliation compares three things: what your payroll records say was deducted, what the EMP201s declared, and what was actually paid. All three must agree.
Where employers go wrong
- Codes that do not match reality: income, fringe benefit and retirement-funding source codes misapplied, producing certificates that contradict payslips.
- Declared but unpaid (or paid but undeclared): the reconciliation's whole purpose is catching this gap; it catches it loudly.
- Employee data errors: incorrect ID numbers, tax numbers or periods employed cause certificate rejections and employee assessment problems.
- Late submissions: which attract penalties per month per employee, and can block the employer's own compliance status and TCC.
Why employees feel it too
An incorrect IRP5 flows straight into the employee's personal tax return: wrong income means wrong assessments, wrong refunds, and verification letters for people who did nothing wrong. Employers who treat reconciliations as optional paperwork are quietly creating problems for their own staff.
The fix is boring and effective
Reconcile monthly instead of annually, keep payslip data clean at source, tie EMP201 declarations to actual payments every month, and the annual EMP501 becomes a formality rather than an excavation. Where history has already gone wrong, the correction path is a properly prepared replacement reconciliation, and it is very fixable.
