What documents must a trust upload with an ITR12T?

Direct answer
There is no safe universal upload-everything list for every trust ITR12T. Prepare the trust deed, trustee-authority records, financial records and evidence for material return entries, then upload the documents the current ITR12T prompt or SARS request actually requires. SARS's trust-return guide describes supporting-document functionality, and SARS can request evidence after submission.
Read the request carefully before uploading. Note the tax year, due date, document types, taxpayer reference and case number. A document that is relevant to the trust generally may still be the wrong document for the specific SARS request. Do not send unrequested beneficiary, banking or identity information simply because it is in the trust file.
What this means in practice
Build a preparation file before opening the return. It normally includes the executed trust deed and amendments, current trustee details and authority, financial statements or accounting records, bank records, income and expense evidence, investment records, distribution resolutions and information needed for the fields completed on the ITR12T. The importance of each item depends on the trust's transactions and the return questions.
Separate source documents from working papers. Source documents are the original records, such as a bank statement, contract, invoice, investment statement or signed resolution. Working papers explain how the figures were derived. Both can be important, but do not replace source records with an unsupported spreadsheet. Clearly name files with the trust, tax year and topic, without putting unnecessary personal identifiers in a filename.
Before upload, check that each document is complete, legible and relates to the requested period. Keep the original file unchanged. If a page is missing or the record conflicts with the return, resolve the inconsistency instead of adding a note that simply asserts a preferred outcome.
Step-by-step
- Save the SARS request, notice or ITR12T prompt. Record the tax year, due date, case number and specific documents requested.
- Make a list of the return entries or question that each proposed document supports. Exclude files that are not relevant to the request.
- Gather original trust records: trust deed and amendments, trustee authority, accounting records, bank and investment evidence, and signed distribution or administration records where relevant.
- Compare totals and dates in the documents to the ITR12T working papers. Investigate material differences before upload.
- Check document quality and file names. Ensure pages are complete, readable and free from accidental disclosure of unrelated client material.
- Upload through the current SARS channel shown in the request. Confirm that the correct trust and tax year are selected before finalising the upload.
- Save the upload receipt, case reference, submitted file list and copy of the correspondence. Check the work page for later requests or status updates.
Documents and records to keep
- Trust deed, amendments, trustee authority and current trust particulars.
- Financial statements, ledger, bank records, investment reports and income evidence.
- Signed trustee resolutions and distribution records, where relevant.
- ITR12T working papers, SARS request, upload receipt and submission log.
Do not keep copies in casual shared folders. Trust records can contain information about minors, beneficiaries, assets and addresses. Apply access controls appropriate to the engagement.
Important limits and exceptions
Uploading a document does not prove that SARS accepts the return or that no further information will be requested. A request for documents is also not permission to change the return retrospectively without following the relevant process. If SARS asks for a document the trust cannot provide, preserve the request, explain the factual position through the proper channel and obtain advice promptly.
The required evidence can differ for special trusts, deceased estates, trading trusts, distributions, capital transactions and prior-year corrections. Avoid copying another trust's document checklist without checking the facts and current ITR12T questions.
