Why is my retirement transfer delaying the processing of my SARS return?
Why is my retirement transfer delaying the processing of my SARS return?

Direct answer
SARS says an ITR12 can be rejected where a retirement transfer or purchase of an annuity was declared, SARS issued a tax directive, and SARS has not received a matching Recognition of Transfer from the receiving fund. In that specific situation, contact the receiving fund and ask it to submit the ROT to SARS. Once it confirms submission, refresh the eFiling data and submit the return again.
This is a fund-administration workflow, not an instruction for the member to create a tax form. The receiving fund or long-term insurer is responsible for the required transfer confirmation.
What this means in practice
The Recognition of Transfer process connects a directive issued for a retirement-fund transfer with confirmation that the receiving fund received the money. It helps SARS distinguish an approved transfer from a cash benefit and validate the return data.
An eFiling rejection can be frustrating because the transfer may have happened months earlier and the money may already show in the new fund. A new fund balance is useful evidence, but it does not necessarily mean the recognition record has been submitted and matched in SARS systems.
First capture the exact error in eFiling. Check that it actually refers to a retirement transfer or purchase of annuity, a directive and missing matching ROT information. If the wording is different, do not assume the same solution applies. Other return validation errors have other causes.
Then contact the receiving fund, not only the old fund. Provide your identity number, tax number, old and new fund member numbers, transfer date and directive reference if you have it. Ask the fund to confirm in writing whether the ROT has been submitted to SARS and, if not, what information it needs. Avoid repeatedly submitting the ITR12 before the data is ready.
Step-by-step
- Save the eFiling message.
Take a screenshot or download the message. Record the tax year, case or return reference, and exact wording.
- Gather transfer documents.
Collect the old fund closing statement, new fund receipt statement, transfer instruction, directive reference and any tax certificate. Make sure your tax number is correct on each record.
- Contact the receiving fund.
Explain that SARS says it needs a matching Recognition of Transfer. Ask whether the ROT01 or relevant recognition information has been submitted and accepted.
- Ask for a written status.
Request the submission date, reference number and any outstanding requirement. If the fund says the old administrator must act, ask it to clarify the handoff in writing and copy both administrators where appropriate.
- Wait for confirmation, then refresh eFiling.
Once the receiving fund confirms submission, refresh the return data in eFiling as SARS instructs. Recheck the prepopulated transfer details before resubmitting.
- Keep the completed audit trail.
Retain the error screenshot, fund emails, directive reference, statements, submitted ITR12 and ITA34 assessment. This shows the correction process if SARS later asks questions.
Documents and records to keep
- Screenshot or copy of the exact eFiling message.
- Transfer instruction and old fund closing statement.
- New fund receipt or opening statement.
- SARS tax directive reference and tax certificate.
- Receiving fund ROT confirmation and correspondence.
- ITR12 and ITA34 assessment.
Important limits and exceptions
This process applies to the specific SARS ROT validation situation. It does not solve every filing rejection, every retirement benefit query or every missing IRP5. Read the exact error before contacting the fund.
Do not submit an ROT yourself or assume the tax directive is enough. SARS's current guidance says the receiving fund must confirm receipt. Where the transfer involves a divorce, two-pot components or an annuity purchase, the administrator may need additional information or a specific process.
When to get tailored advice
Get tailored advice if the fund cannot explain the delay, a tax certificate shows an unexpected cash withdrawal, the transfer was cross-border, or a deadline is close. TaxProof can organise the correspondence and documents, while the fund administrator must complete its statutory submission.
