Can I reimburse an employee's day-trip meals without creating PAYE?

Direct answer
For the 2027 tax year, a reimbursement or advance for actual meals and incidental expenditure can be exempt up to R184 where an employee is obliged by employment duties to spend part of a day away from the usual place of work or employment and is allowed to incur that expenditure. All of those facts matter. Do not treat an ordinary lunch, commuting cost or a flat meal allowance as automatically exempt.
The R184 figure applies to the 2027 tax year, from 1 March 2026 to 28 February 2027. It is separate from the overnight subsistence amounts.
What this means in practice
The rule is designed for an employee on official business who has to be away from the usual workplace for part of the day. The employer must have allowed the employee to incur meals and incidental costs, and the payment must relate to expenditure actually incurred. A routine meal at the ordinary place of work does not meet that description.
For the 2027 tax year, SARS lists R184 as the maximum for this part-day reimbursement or advance. The amount is an annual figure that can change. A payment above the current limit, or a payment that does not meet the actual-expenditure and business-travel facts, should not be described as exempt without a separate payroll assessment.
This is also not the overnight rule. An employee who spends at least one night away from the usual residence has a different set of facts and domestic deemed amounts. Do not switch between the two categories because a day trip was long or expensive.
Step-by-step
- Confirm official business travel.
Record why the employee had to be away from the usual place of work or employment and for what part of the day. Keep a travel authorisation, meeting record or itinerary that supports the business purpose.
- Confirm the employer allowed the expenditure.
Check the travel or expense policy and the manager approval. The payment should be connected to an authorised meals and incidentals expense, not an informal cash payment.
- Obtain evidence of actual expenditure.
Keep the employee's claim and receipts or other evidence of the actual meals and incidental costs. A fixed payment with no connection to actual expenditure needs separate review.
- Compare the amount with the 2027 limit.
For this tax year, compare the reimbursement or advance to R184. Record the amount reimbursed and any part that requires payroll consideration because it falls outside the stated conditions.
- Give payroll the complete record.
Provide the date, destination, business purpose, actual expenditure and payment details. Keep the working paper with the payroll records so the treatment can be explained later.
Documents and records to keep
- Business travel authorisation, itinerary or meeting record.
- Date, destination and business purpose.
- Employer policy or approval allowing meals and incidental expenditure.
- Receipts and employee claim showing actual expenditure.
- Payroll working paper comparing the payment to the R184 2027 amount.
- Proof of reimbursement or advance.
Important limits and exceptions
The exemption conditions work together. The employee must be away from the usual place of work or employment by reason of employment, the employer must allow the expenditure, it must be actual expenditure for meals and incidentals, and the reimbursement or advance must not exceed R184 for the 2027 tax year.
The article does not say a flat meal allowance is exempt. It does not apply to an ordinary commute or a personal meal. It also does not cover overnight domestic travel, which uses different criteria and amounts, or kilometre-based vehicle reimbursement.
Where the facts fall outside the stated conditions, obtain a payroll review instead of treating the whole payment as non-taxable by default.
When to get tailored advice
Get tailored payroll advice for daily allowances, recurring field-staff payments, reimbursements without receipts, payments above the current limit, cross-border trips or arrangements that combine meals, accommodation and transport.
TaxProof can help organise claims, receipts and travel approvals for review. It cannot decide that a payment is PAYE-free without the complete facts and the employer's payroll assessment.
