What must South African employers prepare for the 2026 interim EMP501 reconciliation?

Direct answer
SARS has announced that the 2026 interim EMP501 submission period runs from 21 September to 31 October 2026. Employers must reconcile the six months from 1 March to 31 August 2026 and submit the EMP501 with accurate interim IRP5 or IT3(a) certificate data.
Start before the window opens. The core control is a three-way reconciliation between payroll, the EMP201 declarations and the payments actually allocated by SARS.
What must reconcile
- PAYE, UIF and SDL: totals from payroll must agree with the EMP201 declarations for March through August.
- Payments: use actual tax payments for the period, excluding penalties and interest, and confirm their allocation on SARS records.
- Certificates: interim IRP5 or IT3(a) values must agree with the payroll and declaration totals.
- Employee data: names, identity details, employment dates, tax reference numbers, remuneration and source codes must be valid.
Do not force the EMP501 to balance by changing a figure without tracing the original error. A difference can belong in payroll, an EMP201 correction, a payment reallocation or certificate data.
2026 changes to prepare for
SARS plans to release an updated e@syFile Employer build in mid-September. Employers using it should install the formally released version before importing or submitting the reconciliation. SARS has also published BRS version 25.3.0 for the 2026-08 period, including an ITREG source code intended to reduce duplicate employee income-tax registrations and minor source-code validation changes.
Test payroll exports against the updated requirements rather than discovering validation failures on 31 October.
Employee tax numbers are mandatory
SARS states that valid employee income-tax numbers have been strictly enforced in e@syFile Employer and eFiling since the February 2026 employer filing season. Missing or invalid numbers can delay processing or cause rejection.
Employers can use the ITREG or BundleReg process, the Tax Reference Number Enquiry Service, or the relevant SARS service route. Resolve missing numbers now and retain evidence of every request.
Choose the right submission channel
e@syFile Employer is available regardless of the number of certificates. eFiling is limited to 50 IRP5 or IT3(a) certificates per submission. SARS provides a service-centre exception for employers with five or fewer certificates who cannot use either digital route, subject to an appointment.
Use one controlled data set and record which channel submitted it. Multiple versions create avoidable certificate and reconciliation disputes.
A practical preparation sequence
- Freeze the March to August payroll data after approved corrections.
- Export monthly payroll totals for PAYE, UIF and SDL.
- Compare those totals with every submitted EMP201.
- Compare declarations with payments and SARS allocations.
- Validate employee identity details, tax numbers, periods and source codes.
- Run a certificate total back to payroll and investigate every difference.
- Back up the payroll and e@syFile database before installing an update or importing data.
- Submit before 31 October and then monitor the PAYE Dashboard until the status confirms successful processing.
Do not overlook September's EMP201
The interim EMP501 covers payroll through 31 August, but the August EMP201 and its payment are still a monthly obligation. SARS says an EMP201 and payment are generally due within seven days after month-end, moved to the preceding business day where the seventh falls on a weekend or public holiday. Keep the monthly filing and the reconciliation work as separate controls.
Consequences of a late or inaccurate return
SARS states that a late EMP501 can attract an administrative penalty equal to 1% of annual PAYE, increasing by 1% for each month it remains outstanding up to 10%. Incorrect monthly PAYE that produces a shortfall can also lead to penalties and interest. Unused ETI can be forfeited where the employer does not submit or is non-compliant.
Do not wait for a penalty notice before checking the submission status. A successful upload is not the same as a fully processed reconciliation.
Records to keep
- March to August payroll reports and employee master data.
- EMP201 declarations, payment confirmations and SARS statements.
- IRP5 or IT3(a) validation reports and control totals.
- EMP501 submission confirmation and PAYE Dashboard status.
- Correction, payment-reallocation and tax-number request evidence.
- Software version, backup location and import logs.
