How do I correct a wrong prepopulated rental property on ITR12?

Direct answer
Prepopulated rental information is not a reason to submit an inaccurate return. Use the current ITR12 rental-property workflow, compare the displayed property details with your evidence, and correct the fields the return makes editable. SARS's guide says that from the 2023 year of assessment a rental property's description and unique identifier may be prepopulated and locked based on SARS records. It also provides a "Correct Description" field where the displayed name or asset description is wrong.
Do not invent a replacement identifier or remove a property merely to clear a mismatch. First establish whether the issue is the description, the continuing rental use, the number of properties, income, expenses or ownership. The correction should be supported by documents and consistent with prior returns.
What this means in practice
SARS may carry a property forward from information previously declared. That is useful, but it may reflect an old description, a sold property, a change in use or a record that was never corrected. Your tax return must still disclose the accurate facts for the particular year of assessment.
Build a short reconciliation before you open the return. List each property, its SARS identifier, actual address or description, owner, rental period, rent, expenses, and whether it was sold or ceased to earn rental income. Compare it to the ITR12 one property at a time. The current guide says the rental section is repeated for the number of separate rental activities selected, to a maximum of 20. Do not merge genuinely separate activities simply because the prepopulation is inconvenient.
Where a property is no longer used to earn rental income, use the current guide's closure prompts if the facts support them. Where the description is incorrect, use the correct-description mechanism and preserve title, lease, sale or other source records. If the live return prevents a correction that is necessary, do not manufacture a second property record. Capture evidence of the issue and use an appropriate SARS support or correction channel.
Step-by-step
- Gather the underlying records.
Use leases, title or purchase records, sale agreements, rates accounts, rental ledgers and prior ITA34s.
- Make a property-by-property reconciliation.
Record exactly what is displayed, what is correct, and which evidence supports the difference.
- Check the current ITR12 guide.
Confirm whether the relevant field is locked, editable, a Correct Description field, or a closure question.
- Correct only the inaccurate element.
Keep the SARS identifier where the system requires it. Do not make up a new unique identifier.
- Complete income and expenses from your schedule.
Prepopulated property details do not replace rental amounts and supporting documents.
- Save proof and review the assessment.
Keep the submitted ITR12, the correction note and the ITA34. Act promptly if the assessment does not reflect the submitted information.
Documents and records to keep
- Previous ITR12s and ITA34s showing the existing rental record.
- Lease, title, municipal, sale and property-management documents.
- Rental ledger, expense schedule and supporting invoices.
- Screenshots or PDFs of the prepopulated details and final submitted return.
Important limits and exceptions
The ITR12 guide describes how records are presented and corrected; it does not prove ownership, allow unsupported deductions or determine a sale date. Joint ownership, community of property, a trust, a deceased estate, a property partnership and a mixed-use home can require additional disclosure or advice.
Do not accept a prepopulated amount or property description without checking it. Equally, do not overwrite correct historic data merely because a tenant or municipal account uses a different informal name.
When to get tailored advice
Seek assistance if an identifier is duplicated, a property was sold or transferred, the record relates to a trust or another owner, or the return cannot be completed accurately. TaxProof can prepare a reconciliation pack and help you identify the correct SARS escalation route.
