VAT records guide

How to catch up VAT records before the next deadline

When the VAT figure feels wrong, the answer is not another estimate. The records need to be rebuilt from evidence that can be traced and reviewed.

Last reviewed:

Start with the transaction trail

Bank and card records establish what moved in and out of the business. Compare that trail with the accounting ledger to identify missing, duplicated, personal-use, or incorrectly classified entries.

Match invoices and receipts

Existing PDFs, scans, receipt photographs, supplier statements and email attachments can be read and matched to known payments. Unmatched transactions become an evidence list rather than disappearing into a general request for documents.

Separate capture from judgment

Document matching can be prepared quickly by experienced hands. Deciding whether an expense is allowable or whether a VAT treatment is correct still requires the facts and appropriate professional review.

Prepare a review pack

A controlled VAT catch-up should produce a reconciled transaction base, source-document status, exception schedule and a list of matters requiring client or registered tax-practitioner input.
